1. Who we are
VisaReady provides admin support (checklists, document tracking, expiry reminders, compliance scoring) for UK visa applicants. We are the data controller for the personal information you provide through the service.
2. What we collect
- Account data: name, email address, and authentication identifiers.
- Application data: visa route, application details, checklist status, and expiry dates you enter.
- Uploaded documents: files you upload to support your application (e.g. passport scans, tests, certificates).
- Technical data: minimal server logs (IP, timestamp, request path) for security and reliability.
3. Why we use it
- To provide the checklist, tracking, and compliance features you signed up for.
- To send transactional emails (account, reminders, service notices).
- To secure the service and prevent abuse.
We do not sell your data and we do not use your uploaded documents to train AI models.
4. Legal basis (UK GDPR)
We process your data to perform our contract with you (delivering the service), to comply with legal obligations, and where you have given consent (e.g. optional communications). You can withdraw consent at any time.
5. Sharing
We share data only with the processors needed to run the service — our hosting and database provider, our email delivery provider, and our authentication provider. They act on our instructions under written agreements. We do not share your documents with UK Visas & Immigration or any third party unless you explicitly instruct us to or we are legally required to.
6. Retention
We keep your account and application data while your account is active. You can delete individual documents or your entire account at any time; deletion is permanent and removes files from storage.
7. Your rights
Under UK GDPR you have rights to access, correct, delete, export, and restrict processing of your data. Contact us via the Contact page to exercise them. You can also complain to the UK Information Commissioner's Office (ICO).
8. Cookies
We use only the strictly necessary cookies required to keep you signed in and to operate the service. We do not use advertising or third-party tracking cookies.
9. Changes
We may update this policy. Material changes will be notified by email or in-app notice before they take effect.
